Hey there, glad you're checking this out.

Look, nobody really enjoys reading privacy policies - we get it. But since you're trusting us with your mountain getaway (and your personal info), we figured you deserve to know exactly what we do with your data. We've tried to keep this as straightforward as possible, no legal mumbo-jumbo where we can avoid it.

Running a wilderness retreat means we collect some info about our guests - it's just how things work. But we're not out here selling your details or doing anything sketchy. This policy'll walk you through what we collect, why we need it, and how we keep it safe.

When you book a stay at Pyrevor Odyssey, we're gonna need some basics from you:

  • Personal Details: Your name, email, phone number, and mailing address. Pretty standard stuff for any reservation.
  • Payment Info: Credit card details and billing information. We use secure payment processors, so we're not just storing your card numbers in a spreadsheet or anything.
  • Stay Preferences: Room type, dietary restrictions (especially important for our farm-to-table dining), accessibility needs, and any special requests you've got.
  • Activity Participation: If you're signing up for guided expeditions or adventure sports, we'll need emergency contact info and sometimes medical details to keep you safe out there.
  • Website Usage: Like most sites, we collect data on how you browse - what pages you check out, how long you stick around, that sort of thing. Helps us make the site better.
  • Communications: Emails, calls, or messages between us. We keep these to help sort out any questions or issues that come up.

We're not collecting anything we don't actually need. If it doesn't help us give you a better mountain experience, we don't want it either.

Alright, so here's what we actually do with your info:

  • Processing Reservations: Can't book you a room without your details, right? We use your info to confirm bookings, send confirmations, and manage your stay.
  • Service Delivery: Making sure your room's ready, the kitchen knows about your food allergies, and your spa appointment's on the books.
  • Safety First: For adventure activities, we need certain info to keep everyone safe on the trails and slopes.
  • Communication: Sending you booking confirmations, updates about your stay, and answering any questions you've got.
  • Improving Things: We analyze usage patterns to figure out what's working and what needs tweaking - both on the website and at the resort itself.
  • Marketing (Only If You Want): We might send you info about special offers or new experiences we're offering, but only if you've said it's cool. You can opt out anytime.
  • Legal Stuff: Sometimes we gotta keep records for tax purposes, liability protection, or if there's a legal requirement.

Bottom line - we use your information to run the resort and make your visit awesome. That's it.

Yeah, we use cookies - not the chocolate chip kind, unfortunately. Here's the deal:

  • Essential Cookies: These keep the website functioning. Without 'em, you can't book rooms or navigate properly. These are non-negotiable.
  • Performance Cookies: Help us understand which pages are popular and if anything's broken. All anonymous stuff.
  • Functionality Cookies: Remember your preferences so you don't have to keep entering the same info every visit.
  • Marketing Cookies: Track whether our ads are working. You can totally disable these if you want.
Manage Your Cookie Preferences

Most browsers let you control cookies through their settings. Just know that blocking certain cookies might mess with how the site works for you.

We're not selling your data to random companies. Period. But we do share info with specific partners who help us run things:

  • Payment Processors: Secure third-party services that handle credit card transactions. They've got their own strict privacy policies.
  • Service Providers: Companies that help with stuff like email delivery, website hosting, and booking management. They only get access to what they need.
  • Adventure Partners: If you're doing a guided expedition with one of our certified partner companies, we'll share relevant info with them for safety reasons.
  • Legal Requirements: If the law says we gotta hand over information (like a court order), we will. But we'll only share what's absolutely required.
  • Emergency Services: In case of a medical emergency or safety issue during your stay, we'll share necessary info with first responders.

All our partners are contractually obligated to protect your privacy just like we do. If they don't meet our standards, we don't work with them.

Security's a big deal for us. We've got multiple layers of protection in place:

  • Encryption: All sensitive data gets encrypted both when it's traveling over the internet (SSL/TLS) and when it's sitting in our databases.
  • Access Controls: Only staff members who actually need access to your info can see it. We're not letting the whole team browse through guest data.
  • Secure Servers: Our data's stored on protected servers with regular security updates and monitoring.
  • Regular Audits: We do security checks and vulnerability assessments to catch any weak spots.
  • Staff Training: Everyone on our team gets trained on privacy practices and data protection.
  • Secure Disposal: When we don't need your data anymore, we delete it properly - no leaving old hard drives lying around.

That said, no system's 100% bulletproof. We do everything we can to keep your info safe, but it's smart to use strong passwords and be careful about what you share online.

We don't hang onto your information forever. Here's our general approach:

  • Booking Information: Kept for up to 7 years after your stay for tax and accounting purposes. It's a Canadian legal requirement, not just us being nosy.
  • Payment Details: Processed and stored by our payment provider according to their policies. We don't keep full card numbers ourselves.
  • Marketing Data: If you've opted into our mailing list, we'll keep your contact info until you unsubscribe or haven't engaged with us in over 3 years.
  • Website Analytics: Usually stored for 26 months, then automatically deleted.
  • Communications: Emails and messages kept for 2 years in case we need to reference previous conversations.

If you want us to delete your data sooner (and there's no legal reason we need to keep it), just reach out and we'll take care of it.

It's your data, and you've got rights when it comes to how we handle it:

  • Access: You can ask to see what personal information we have about you. We'll send you a copy.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to erase your data? We'll do it, unless there's a legal reason we need to keep it.
  • Portability: You can request your data in a format that's easy to transfer somewhere else.
  • Opt-Out: Don't want marketing emails? Click unsubscribe or contact us directly. No hard feelings.
  • Restrict Processing: You can ask us to limit how we use your data in certain situations.
  • Object: If you don't like how we're processing your data, you can object and we'll review it.

To exercise any of these rights, just shoot us an email at reservations@pyrevornodyssey.info or give us a call at (604) 555-7829. We'll get back to you within 30 days.

If you're not happy with how we've handled your data, you've also got the right to file a complaint with the Office of the Privacy Commissioner of Canada.

We're based in Canada, and most of our data stays here. But some of our service providers (like payment processors or email platforms) might have servers in other countries, including the United States.

When your data crosses borders, it's subject to the laws of that country. We only work with partners who maintain strong privacy protections, but you should know that different countries have different rules.

If you're visiting us from the EU or other regions with specific data protection laws, we've got appropriate safeguards in place to protect your information according to those standards.

We love having families visit the resort, but our website isn't directed at kids under 13. We don't knowingly collect personal information from children without parental consent.

If you're booking for a family, we'll need basic info about all guests (including minors) for room assignments and safety purposes, but that's collected through the parent or guardian making the reservation.

If we somehow end up with information from a child under 13 without proper consent, let us know immediately and we'll delete it.

Things change - new laws, new technology, new ways of doing business. When we need to update this privacy policy, we'll post the new version here with an updated date at the top.

For minor tweaks, we'll just update the page. If we're making big changes that affect how we handle your data, we'll send out an email notification to let you know.

It's worth checking back here occasionally to stay in the loop. We always list the effective date right at the top so you can see when the last changes were made.

Got questions about this privacy policy or how we handle your data? We're here to help. Seriously, don't hesitate to reach out.
